Top Tips for Your Wedding Seating

Making sure each guest is as comfortable as possible with the company at their table can take some serious planning and diplomacy! But don’t worry, we have some great tips for you to make seating planning a breeze.

Go Digital

Whether you use a platform like HAPPLY or keep your seating plan as a digital file on your pc or phone, it’s the way to go. Making notes on paper when things are certain to change a lot before you get a final draft down can be frustrating and confusing.

Know the Floor Plan

Ask your venue coordinator for a floor plan, and how they typically arrange tables. This will help you to place tables and arrange seating appropriately.

Calculate Numbers

You’ll need to have RSVPs in to do your seating plan. You’ll need to know the numbers, as well as who precisely is attending so you can plan accordingly. With these details, arrange your seating between 2 and 4 weeks before the big day

Select Table Sizes and Shapes

Once you know the numbers, you can select your tables and placing thereof. The most common table setups are either round tables spaced all about the reception hall, or a series of long tables.

This choice is entirely a matter of personal preference of you and your partner. As long as you ensure that the tables fit the space without being too cramped and that guests can sit comfortably and safely, everybody wins.

Typically, the bride and groom have their own table in a central spot so everyone can see them and easily come and chat to them, to congratulate them on their big day and offer other sentiments. Often, the parents of the bride and groom are seated at the bridal table, too, but again, this is entirely a matter of personal preference.

Special Treatment for the Wedding Party

You don’t have to seat your bridesmaids and groomsmen all together if they aren’t from the same circle of friends. It’s great to put them together if they are all friendly, though! Otherwise, put some thought into seating them where they will likely be the most comfortable.

Your wedding party will support you through the entire planning process, so it’s a nice gesture to give them special treatment.

Also, make sure parents and guardians get pride of place and some special extras.

Plan with Tact

When seating friends and family, try to place guests with people they know and get along with. Try to seat people who have things in common at the same table. That way, they will have something to chat about.  There is nothing worse than being stuck at a table with people you have a hard time talking to.

Ask for Advice

If you’re unsure if certain guests will get along, ask your family and friends for advice. Among all of you, there is bound to someone with a bright idea to solve a seating problem. Your parents will also likely have a preference concerning the seating of some guests who are in their social circle and age group. Be open to suggestions. After all, you want everyone to be happy on the day.

Place Younger Guests Near the Dance Floor

It’s best to place the younger crowd near the dance floor. They’re likely to be up and down between the table and dancing, and thus they won’t have too far to go or interrupt others on their way.

Don’t Forget Your DJ, Photographer, etc.

Remember to set places for anyone working at your wedding so they can take a break and get some refreshment.

Remember a Seating Guide for Guests

Even if you’re having a small wedding, a seating guide at the reception entrance helps guests know where they’re supposed to be. This will make them feel more welcome and comfortable at your wedding. You’ll also need place cards at the tables with each guest’s name.
